Easy Pro Solutions Pty Ltd. provides a complete learning management system, called eProLMS. This privacy policy sets out how eProLMS collects and uses information about users when they use our services, and why we collect certain personal data. This policy also explains the choices that users can make about the way that we use their information.

We value the user's privacy and have taken measures to protect it. Specifically, we adhere to Australia's Privacy Act 1988 (Privacy Act). This notice applies to all personal information that we handle in accordance with this legislation.

Any information pertaining to a named or identifiable natural person is considered "personal data." A person who can be identified directly or indirectly, particularly with reference to an identifier like a name, identification number, location information, online identifier, or one or more factors specific to that person's physical, physiological, genetic, mental, economic, cultural, or social identity, is said to be an identifiable natural person.

We collect information that is relevant to our interaction with the users. This includes:

All users have access to the tools they need to protect their operations, data, and information when using our services. Our privacy features make sure that eProLMS complies with regional privacy laws. We are completely open and honest about how we gather, use, and disclose data from learners, educators, and anyone else who visits the eProLMS website. We manage all student data requests and keep track of retention periods in a single location. Furthermore, we enable users to easily access or download their data, see the policies they have agreed to, and manage subject access/deletion requests from such users centrally.

Users' personal information must be gathered in order for us to provide them with our services or for correspondence purposes. We take care to only collect and use the data necessary to achieve this goal. The types of data we gather are based on how users interact with us and are always processed with a clear purpose in mind. In this regard, transparency is important to us.

Where possible, we will collect information directly from the users. We may collect personal information from the institute where the users are enrolled.

Personal information may be collected through the following channels:

  • User enrolment files by the third-party institute
  • Over the phone via the eProLMS contact centre.
  • User experience survey
  • Via Institute admins
  • Through our mobile app when a user updates details.
  • Social media and communication platforms
  • Employment applications and associated recruitment activities.

We may collect the users' personal information from Facebook, Instagram, Twitter, or LinkedIn if they reach out to us via these channels. We recommend that they refer to the relevant platform's privacy policy before they provide their personal information in this manner.

How we use and store personal data

As we interact with the users, we may have to share their personal information with external service providers that are under contract with Moodle. This is necessary for services like our video conferencing feature, which cannot function without these transfers. However, we ensure that any third party with whom we share their data is bound by strict confidentiality and security measures. They are only allowed to use their information for the purpose of delivering the necessary service. Once the service is completed, we instruct them to securely dispose of their data in accordance with our standard procedures.

We ensure that we process (collect, store, and use) users' information in compliance with GDPR. Physical, organizational, and technical safeguards are in place to protect all personal data we hold. Our goal is to maintain the accuracy and currency of their information and not to store it for longer than necessary. However, we are legally required to retain certain information, such as that needed for income tax and audit purposes. Additionally, specific business-sector requirements and practises dictate how long certain types of personal data should be kept. Depending on individual business needs, personal data may be retained beyond these periods.

We will handle various types of personal information for as long as it is required and reasonable for the intended purpose, and we will keep the data stored for the shortest duration possible while considering legal and service obligations.


We only collect data that is necessary to provide our services to users, and nothing more. If we plan to contact them for marketing purposes, we will not simply rely on this privacy notice. Instead, we will make sure to obtain their consent beforehand. We never sell any data and have no intentions of doing so in the future.

Users' Rights

During our possession or processing of the personal data, users hold the following rights: the right to withdraw consent, access, rectification, erasure, data portability, restrict processing, object, object to automated processing (including profiling), know, judicial review (if we deny their access request, we will provide a reason), freedom from discrimination if they exercise their rights, notification of data breaches, and the right to file a complaint with a supervisory authority.

Mobile App

&nbsp We only collect data though eProLMS profile. The mobile app is just an interface of the eProLMS website, and does not collect any personal on its own.
